The Lumeio Pain Point Audit is a fixed-price AI process audit for Melbourne and Victorian businesses with 15 to 250 staff and a heavy load of documents, forms, tickets or compliance records. For A$1,950 + GST you get a written report within 5 business days that ranks your top five time drains, says what AI should and should not handle, sets the human review points, explains how your data would be handled, checks your automated decision-making exposure under APP 1.7 (free for audits booked before 10 December 2026) and quotes a fixed price for the first fix.

    The problem

You’ve tried AI. The paperwork is still there.

Most operators aren’t against AI. They just haven’t seen it change anything. Sound familiar?

    • “We pay for ChatGPT. Nobody’s job has actually changed.”
    • “Someone still retypes every docket into the system on Friday afternoon.”
    • “The free AI scan said we should automate customer service. Our problem is 400 PDFs a week.”
    • “I’m not putting client or resident records into a chatbot and hoping for the best.”
    • “I don’t know where to start, and I don’t have a spare week to find out.”

Chat tools help one person write faster. They don’t move a document from an inbox into a register, check it against your rules and flag the exceptions. And a free scan that matches your industry to a list of software never looks at the forms your team actually handles.

The gap is the workflow. The Pain Point Audit starts there: how the work moves today, where the hours go and which steps need a person’s judgement.

Around 65% of Australian SMEs not using AI cite distrust of AI decisions or a preference to keep humans in control (National AI Centre, Dec 2025 to Feb 2026). Deloitte Australia found only 12% of organisations say AI is genuinely transforming their business (reported by IT Brief).

A tall stack of clipped paper files beside reading glasses, the kind of paperwork a Pain Point Audit maps first
Every stack has a story. The audit finds the expensive ones.

    What you get

    What’s in the audit report

A written report you own, whether or not you work with us afterwards. Six sections, each one something you can act on.

    01

    Your top five time drains

Ranked, with hours per week estimated from your own data: your volumes, your forms, your team’s timings. Not industry averages.

    02

What AI should handle, what it should not, and why

Some steps need plain rules-based automation, some need AI to read messy documents, and some should stay manual. We say which is which.

    03

    Human review points

For every recommendation: who checks the output, what they see, and what they can reject before anything is saved or sent.

    04

    Where your data lives

Which systems would store your data, where they are hosted, and which AI models would touch it, under what terms.

    05

    ADM exposure check (APP 1.7)

Every system that touches decisions about people, rated for risk, with a brief for your privacy lawyer. Free for audits booked before 10 December 2026, then an A$750 + GST add-on. More on the new rules.

    06

A fixed-price quote for the first fix

One clear next step with a fixed price, so you can decide without a second round of scoping.

Most first fixes are in document intelligence: turning dockets, permits, forms and evidence records into checked, structured data.

    How it works

Four steps, and you can stop after any of them

    1. Free · 30 min

      Fit call

    2. Half a day

      Audit session

On site in Melbourne or online. We sit with the people who do the work, walk through real documents and map each process.

    3. Within 5 business days

      Written report

Your top five time drains, recommendations, review points, data handling, ADM check and a fixed quote. We walk you through it.

    4. Optional

      First fix

If you go ahead, we build the first fix at the quoted fixed price, with the audit fee credited against it.

Why this costs more than a $990 software-only audit. A software audit reviews how you use one product suite. This audit maps your processes across every system, inbox and spreadsheet they pass through, and adds the privacy and compliance check that regulated operations need.

    From 10 December 2026

The new automated decision-making rules (APP 1.7)

From 10 December 2026, organisations covered by the Privacy Act must explain in their privacy policy when software uses personal information to make decisions, or to do things substantially and directly related to decisions, that could significantly affect people’s rights or interests. Think rostering, screening job applicants, approving or declining services, or flagging residents or customers for action.

Most businesses don’t have a list of which systems do this. The audit builds one.

    • Lists every system that touches decisions about people, including spreadsheets and add-ons people forget
    • Rates each one for risk
    • Produces a plain-English brief your privacy lawyer can use to update your policy

Lumeio maps the systems. We don’t give legal advice, and your privacy policy should be written or reviewed by a lawyer. Businesses with annual turnover of $3M or less are generally exempt from the Privacy Act, but some are covered whatever their size, including health service providers. The OAIC’s small business guidance explains the exceptions.

    Control and privacy

A person signs off every decision that matters

Human in the loop, in practice

AI reads, sorts and drafts. Your people approve. Every recommendation in the report names the review point: who checks, what they see, and what happens when they say no. Anything the system can’t validate is flagged for a person, never guessed. Here’s what proper human oversight looks like.

    Your data, stated plainly

During the audit we work from samples you choose, and redacted copies are fine. Your documents are never used to train AI models. The report says where your data would live, which models would touch it and under what terms, so you can check it with your IT provider before anything is built.

Built by an engineer, for document-heavy and regulated operations.

    Fit

    Who the audit is for

    A good fit if

    • You run or manage operations at a Melbourne or Victorian business with roughly 15 to 250 staff
    • Your team handles a steady flow of documents, forms, tickets or compliance records
    • The same information gets typed into more than one system
    • You can approve a few thousand dollars of spend without waiting for a board meeting
    • You work in waste management, aged care, building surveying, construction and trades or professional services such as accounting

Probably not the right fit if

    • Your team is small enough that one person can see every process. A good template will get you further than an audit.
    • You want a chatbot on your website. That’s a different project.
    • You want AI to make decisions about people with no one checking. We won’t build that.
    • You need legal advice on your privacy policy. Talk to a privacy lawyer. We’ll give them the system map.

    FAQ

Questions about the Pain Point Audit

How much does a Pain Point Audit cost?

The audit is a fixed price of A$1,950 + GST. You know the full cost before we start, and there are no hourly extras. If you go ahead, the audit fee is credited in full against a first build of A$5,000 + GST or more, signed within 60 days of your report.

How much time does the audit need from my team?

About half a day in total. The fit call takes 30 minutes. The audit session takes half a day, on site or online, with the people who actually do the work plus the owner or operations lead. Before the session we ask for a few sample documents, and after it we may send a handful of follow-up questions by email.

What happens to my data during the audit?

We work from samples you choose, and redacted copies are fine. Your documents are never used to train AI models. The report states where your data would live in any proposed system, which AI models would touch it and under what terms, so you can check it with your IT provider before anything is built.

Do I need to be technical to get value from the audit?

No. You need to know how the work gets done today, or bring the person who does. We handle the process mapping and the technical assessment, and the report is written for owners and operations leads, not for developers.

What if the audit finds nothing worth automating?

The free fit call exists to catch that before you pay. If we cannot see enough repetitive volume to justify an audit, we tell you and do not sell you one. If the audit itself shows that nothing is worth building yet, the report says so and explains why, and you still keep the process map and the ADM exposure check.

Does the audit cover the new automated decision-making privacy rules?

Yes. From 10 December 2026, organisations covered by the Privacy Act must explain in their privacy policy when software uses personal information in decisions that could significantly affect people. The audit lists every system that touches those decisions, rates the risk and gives you a brief for your privacy lawyer. Lumeio maps the systems and does not give legal advice. The ADM exposure check is included free in audits booked before 10 December 2026, and is an A$750 + GST add-on after that.

How is this different from a free AI scan?

A free scan usually matches your business to a list of tools. The Pain Point Audit maps your actual processes and documents, estimates hours from your own data, sets out where a person must review each recommendation, states how your data would be handled, checks your ADM exposure and ends with a fixed-price quote you can act on.

What happens after I receive the report?

We walk you through it, usually in a 30-minute call. You can take the recommendations to your own team or another provider, because the report is yours either way. If you want Lumeio to build the first fix, it is quoted at a fixed price in the report, and the audit fee is credited in full against a first build of A$5,000 + GST or more, signed within 60 days of your report.
